Up and Running in Under an Hour

This guide walks you through everything — from creating your account to your drivers submitting their first digital ticket. Follow the steps in order and your fleet will be fully set up before the day is done.

Part 1 — Admin Setup

Everything in this section is done from the admin dashboard on any desktop or mobile browser. Complete these steps before inviting your drivers — the data you enter here becomes the dropdowns your drivers use in the field.

Create Your Account

Click Free Trial on the haulingflow website and complete the signup form. You are the account owner and first admin. No credit card required — your 30-day trial starts the moment you sign up.

Add Your Trucks

Navigate to the Trucks tab in your dashboard and add each truck in your fleet. Drivers will select their truck from a dropdown on every ticket — so make sure every active truck is entered before your drivers log in.

Add Materials

Navigate to the Materials tab and add the materials your fleet hauls — gravel, dirt, sand, asphalt, or whatever applies to your operation. Drivers select the material on each ticket so accuracy starts here.

Add Customers and Job Sites

Navigate to the Customers tab and add your current customers along with their associated job names, job numbers, and locations. When a driver selects a customer in the field, the job and location populate automatically — no typing required.

💡 Add all active customers and job sites before inviting drivers. Incomplete dropdown data means drivers may not be able to find what they need on their first ticket.

Invite Your Drivers

Navigate to the Drivers tab, enter each driver's name and phone number, and send the invite. haulingflow texts the driver a magic link to set up their account. Their User ID is their phone number. A PIN is displayed on your dashboard — give it to your driver so they can complete setup.

💡 Have the PIN ready when you call or text your driver. They'll need it within the setup flow to verify their identity before creating their password.

Part 2 — Driver Setup

Everything in this section is done on the driver's phone. Send them this link or walk them through it the first time — after that they're on their own.

Open the Magic Link

The driver receives an SMS from haulingflow with a setup link. They tap the link on their phone — it opens directly in their browser. No app store, no download required at this stage.

Enter the PIN and Create a Password

The driver enters the PIN provided by their admin, then creates a password of their choosing — minimum 8 characters. Their User ID is their phone number. They'll use both to log in going forward.

Install the App to Your Home Screen

haulingflow installs directly from the browser — no App Store or Google Play required. Follow the steps for your phone below.

1. Open haulingflow in Safari (must be Safari on iPhone)

2. Tap the Share button at the bottom of the screen (the box with an arrow pointing up)

3. Scroll down and tap "Add to Home Screen"

4. Tap Add in the top right corner

The haulingflow icon will appear on your home screen. Tap it to launch the app.

Log In

Tap the haulingflow icon on the home screen. Enter your phone number as your User ID and the password you just created. You're in.


Part 3 — Submitting Your First Ticket

This is what it's all about. From the driver's phone, logged in and on the job.

Tap Create New Ticket

From the main screen tap Create New Ticket to open a fresh ticket form.

Fill in the Job Details

Select from the pre-filled dropdowns — customer, job, location, material, and truck number. Selecting a customer automatically fills in the associated job and location. Fill in any remaining fields relevant to the load.

Attach Any Documents

If there are scale receipts, gravel tickets, or any other documents to attach, tap the attachment button and snap a photo or upload from the camera roll. Attach as many as needed — photos never count toward your ticket total.

Capture the Signature

Hand the phone to whoever is signing off on the load. They sign directly on screen and enter their name. The signature is embedded in the ticket record permanently.

Submit

Tap Submit. The ticket is instantly transmitted to the admin dashboard. The office sees it the moment it lands — no paper, no waiting, no lost records.

💡 The admin can view, edit, export, and print tickets from the dashboard the moment they're submitted.
